Clearly communicate substitution rules in an out-of-office response

Also important: You should inform the recipient if e-mails are not automatically forwarded or can be viewed by colleagues ("Please understand that your e-mail cannot be forwarded.").

"If you are represented by a colleague, inform your contact of their email address and, if necessary, the telephone number," the expert continues. The request to use this option only in urgent cases could help to filter out minor concerns ("In urgent cases, please contact colleague: kollege@beispiel.de").

If you like, add a closing formula ("With best regards, Name"). Don't forget your own signature.
