Anyone who messes up when it comes to data protection is threatened with hefty fines.

A careless mistake when sending an e-mail can quickly cost a few thousand euros.

Since the introduction of the General Data Protection Regulation (GDPR) at the latest, there have been all sorts of legal stumbling blocks in handling personal data.

Such an error can also happen quickly when sending e-mails - without even realizing it.

Popular job mistake: Sending emails with recipients in CC

One of the most popular data breaches is sending emails in which the recipient is set in “cc”.

And not too short: "Every day, millions of e-mails are sent with people in Carbon Copy (cc)", writes Tobias Theelen from the consulting firm DataGuard in a guest article in the online magazine

Businessinsider.

This means that anyone who receives this email can see the email addresses of the other recipients.

In addition, the course of the e-mail traffic can also be traced.

If e-mail addresses are shared through such an open e-mail list, this violates the data protection regulation (Art. 4 No. 1 GDPR).

Your e-mails are constantly being ignored?

Then you are wrongly phrasing the subject line.

Fine of up to 2,500 euros

The good news: in most cases, nothing happens.

But it becomes problematic if the e-mail addresses of the other recipients are not to be recognized or if recipients get information through the history that was not intended for third parties.

Then there can be severe fines.

Even before the introduction of the GDPR, fines

of up to 2,500 euros were

imposed

in

this country due to such open e-mail distribution

lists, reveals data protection expert Theelen.

Avoid errors with an open distributor - use "Bcc"

However, this data breach can easily be avoided:

Instead of “cc”, use the “

Bcc” field

for sending e-mails to multiple recipients.

Bcc stands for "Blind Carbon Copy"

.

With this trick, the recipients of this line only see the sender and the content of the email as well as the email history.

Also, always check whether the content of the e-mail history should really be visible to every recipient.

For sending newsletters, it is recommended to use appropriate tools that also observe other data protection guidelines.
