The cleaner cleared a file box the next day

A spokesperson for the Prince of Wales Hospital stated that an imaging and interventional radiology (X-ray department) resident doctor in the hospital borrowed a box of patient X-ray copies of teaching materials from a consultant doctor on March 28.

The resident doctor planned to return the materials to the secretary of the department on April 8. However, the secretary was off work at that time and the doctor placed the file box on the floor next to the secretary's desk.

When the doctor asked the department secretary on April 15 whether he had returned the information to the consultant doctor, he learned that the secretary had not received the file box, so he notified the department head of the incident.

The department’s preliminary investigation found that workers from the outsourced cleaning contractor went to the secretary’s office for cleaning on April 9 and removed a file box placed next to the trash can. However, it could not be confirmed whether the file box contained the batch of X-rays. After searching, the hospital could not find the X-ray copies in other places in the hospital.

Some X-rays have the patient's name and ID number

The spokesman said that the batch of information involved X-ray copies of about 45 to 50 patients. Some of the copies contained the patient's personal information, including names and ID numbers.

In addition, because the batch of X-ray film copies used for teaching purposes were taken before 2004, no patient's treatment was affected as a result.

The spokesman said that he is very concerned about the incident and has reminded all departments again about the requirements for the proper storage and handling of patient data. The relevant departments will also comprehensively review the X-ray copies reserved for teaching purposes to ensure that the relevant information does not contain patients. Personal data, and review the storage and processing arrangements for X-ray copies to prevent similar incidents from happening again.

In addition, the hospital stated that it had reported the incident to the Head Office of the Hospital Authority and the Office of the Privacy Commissioner for Personal Data through the early incident notification system.
